Job Description:

• Agenda mgt with all stakeholders
• Onboarding of new project collaborators
• Creating and maintaining project master slide decks
• Participating in meetings, taking meeting minutes, distribute before & after documentation / follow up on action points
• Management of project and program Teams, Sharepoint, Project plans, Excel overviews,..
• Setting up and distributing templates & summarizing results for management review
• Maintain knowledge base for standard company and project procedures

Job Requirements:

Knowledge and complexity
• At least 5 year experience as a management assistant, capable as a self-starter
• Extensive experience with Excel, Project, Teams, Sharepoint (MS365 in general) and with SAP for administrative tasks

Problem solving
• Timely signal irregularities and proactively take corrective measures, and escalating to project leadership any possible issues wrt project activities and progress
• Maintain an overview of a large diversity of administrative and supporting tasks
• Selfstarter and independent in the administrative support of the project team, or inresolving possible logistical issues

Communication
• Fluent in NL, FR and EN (critical requirement).
• Daily contact with project staff from different departments and companies
• Daily contact with personal assistants of CxO’s (internal / external)
• Daily contact with visitors, job applicants,.. & organizing parking facilities, etc
• Contacts with caterers or event creators,..

Job Offer

Freelance opportunity:

  • first contract until EOY

Remote working:

  • Onsite in Brussels on a daily basis, with occasional work from home for specific tasks
